A certificate or a safety data sheet rarely arrives once and then sits still. It comes in as an attachment, gets read and checked, and is filed where the next person can find it. Then somebody asks for it back: the same certificate, or a version of it rebuilt for them. This section is about both legs of that trip, and it says which leg ships as a prebuilt and which one is built for you.

  1. Step 1

    It arrives by email

    Attachments in Outlook, Front, or Zendesk are pulled in and identified as they land, without anyone forwarding them to a shared folder.

  2. Step 2

    It is read and checked

    A certificate's values are extracted and checked against the specification that governs the lot, and a supplier sheet can be re-papered into your own branded document rather than filed as it came. Other types are read by the processor agent you chose for them.

  3. Step 3

    It is filed in your quality records

    Each document is stored against its lot, product, and supplier, so the next request is a lookup instead of a hunt back through an inbox.

  4. Step 4

    It goes back out, built for you

    Delivered via an agent system activated per deployment, not out of the box: when a customer or an auditor asks, the filed document is retrieved and replied with, and an amended version is generated from the same source record.

Retrieving the filed certificate and replying with it attached are both shipped steps, and we assemble them into the loop your team actually needs. You then decide what an agent may answer on its own, such as reissuing a certificate already on file or applying a naming or rounding change you have permitted. Anything outside those bounds waits for a person.
